Group Admin Assistant – London

Salary circa £21,000

We’re looking for an admin assistant to work from our London office in Tottenham Court Road to provide excellent administrative support, ensuring Definition Group can meet all operational goals on time and with a coordinated approach. You’ll be at the heart of our London office, ensuring it’s a welcoming, brilliant place to work for all your colleagues. You’ll report into the Group Operations Director and work to support some of the Group’s agencies with their own administrative needs such as booking training and coordinating events.   

The role will involve: 

  • Keeping the London office tidy and organised, stationery cupboard stocked, and the printer working  
  • Keeping risk assessments up to date  
  • Providing administrative support to our agencies  
  • Supporting the Group Operations Director to integrate new agencies  
  • Liaising with our IT support company  
  • Answering the phone and greeting people at reception 
  • Supporting Group HR including onboarding (welcoming people to the Group) and off-boarding (saying goodbye).  
  • Supporting Group marketing initiatives and goals 
  • Organising socials 
  • Ensuring our file server stays organised  
  • Looking for new awards to add to our database on the website 

You’re ideal for the role if you: 

  • Are familiar with Office 365 (or similar systems) 
  • Are a self-starter who’ll proactively look to improve processes  
  • Know how to get things done  
  • Are an excellent communicator with energy and enthusiasm 
  • Used to working in a fast-paced environment 
  • Can juggle multiple priorities 
  • Have a strong attention to detail 
  • Are a team player with a positive attitude 
  • Are highly organised, with good time keeping skills 
  • Are IT literate and comfortable using web-based software  
  • Are thoughtful, considerate, and generally a great person to work with!
